While transferring data from Prism to QB and back, there is a log which sometimes shows errors and explains why the data was not transferred
The transfer error log cannot be cleared automatically by Prism. There is a reason why the data was not transferred and data must be fixed in either QuickBooks or Servquest, depending on the error. Follow the resolution below that matches your error and re-run the QB connector. Corrected data will no longer show errors in the log.
Examples of errors:
1. 'There is an invalid reference to QuickBooks Customer...'
1. Resolution
- The Customer ID in QB must NEVER be changed once imported into SQ.
- This message appears when the customer ID has been changed in QB.
- Option A:
- Change the Customer ID back to what it originally was and rerun Connector
- Option B:
- If Customer ID change in QB must remain, then in ServQuest, find the original customer# and update the External ID on Customer Maintenance Information tab.
- There will be a NEW customer# in SQ (duplicated) that should be inactivated, and the external ID should be changed to say "VOID"
2. 'There was an error when saving an Invoice. Error: Transaction amount must be positive'
2. Resolution
By Default, ServQuest will only send invoices with positive balances into QuickBooks. (invoices with balance > $0.00)
- QB Connector >> Settings > Invoice Export Tab
- "Send Zero Balance" checkbox will allow SQ to send $0.00 invoices to QB
- "Allow credits and debits" checkbox will allow SQ to send credit invoices to QB (invoices with balance <$0.00)
3. 'A QuickBooks company data file is already open and it is different from the one requested or there are multiple company files open'
3. Resolution
INSIDE SERVQUEST:- SQ>>>TRANSACTIONS>>PRISM QUICKBOOKS CONNECTOR>SETTINGS
- The quickbooks file should be the exact filepath of where it is located on the server
- The file path should NOT reference a local drive
- Open windows File explorer and access the same file path above
- The QuickBooks company file being used must be opened from the SAME file path referencing server
- You can create a shortcut to your desktop for easy access
CHECK FOLDER PERMISSIONS
- Ensure the file path of the QB company file can be accessed by the windows login of users that must run the QB connector
