ServQuest - Stop Service Feature

Stop Service helps users manage their AR. This article outlines SQ options for the Stop Service flag on the customer record.

Stop Service is a flag that will prompt messages to users on Desktop and Minimate.

  • Stop Service can be set on based on a customers Aging Balance, Credit Limit, or both.
  • A system wide rule can be set for all customers OR on a customer by customer basis.

System Wide Setting - Stop Service Logic For All Customers

 

1. This is set in SQ>> Housekeeping > SC Module and is typically set during implementation.

2. If you do not have access to the SC Module, please contact your manager or system admin to make the change.

Balance > $0.00 and is 1-30 days past due

45 YES Aging Balance > $0.00 and is 31-45 days past due

90 YES Aging Balance > $0.00 and is 61+ days past due 
CR 30 YES Credit Limit + Aging Either Rule for "CR" OR "30" is True
CR 45 YES Credit Limit + Aging Either Rule for "CR" OR "45" is True
CR 60 YES Credit Limit + Aging Either Rule for "CR" OR "60" is True
CR 90 YES Credit Limit + Aging Either Rule for "CR" OR "90" is True

Invoice Due Date is used to calculate what is "past due"

Example: Invoice Date is Mar 1st and Due Date is Mar 31st

 -If Today is Mar 15th → this invoice is still Current

 -If Today is Mar 31st → this invoice is now considered  Past Due (30 option applies)

 -If Today is Apr 15th → this invoice is 15 days Past Due (30 option applies)

 -If Today is May 1→ this invoice is 31 days Past Due (45 option applies)

When a rule applies, the customers Stop Service Flag will be checked on, creating an alert message for users and in some instances, requires a driver to obtain a password on Minimate  devices before continuing service.

Stop Service Rule Options per Individual Customer

Specific Stop Service Rules per Customer

  1. Select an "Auto Manual Type" option
  2. These options follow the SAME Rules outlined above, but will only apply to that customer

Example: System Wide can be set to option "60" for all customers, but you can set a specific customer to follow rule "30"

Blank is the default option. When blank, customer follows the system wide setting.

 

Manual Stop Service per Customer by user (No Automation)

  1. Use "Always Manualy Stop Service" Flag to have a specific customer be EXEMPT from rules
  2. YOU control when the Stop Service Flag is on/off for this customer

Having this flag on will act the same as the "Never" option outlined above

THIS WILL IGNORE BOTH THE SYSTEM WIDE SETTING AND ANY AUTO MANUAL TYPE, EVEN IF THERE IS AN OPTION SET

***If you set a manual type option you want used, then be sure to keep this flag off!***



The rules set which "Turn on Stop Service" Flags are NOT instantaneous, but is a process that must be initiated.

This process is "initiated" when either:

  1. A nightly SQL job exists and is set to run the process (usually after business hours)
  2. The process is manually initiated by a user via the "Generate 30/60/90 Balances" Utility

Manually running the Process via Utility

  1. A user must run the "Generate 30 / 60 / 90 Balances” Utility 
    1. SQ>>>Utilities>>Customer>”Generate 30 / 60 / 90 Balances”

    2. Click Generate

   

You can run this utility at any point in time, and multiple times as needed.

1. This will calculate the Aging Balances for all customers (based on Invoice Due Date)

2. This will also turn on Stop Service Flag based on set options/rules outlined above

**After running the utility, remember to run the Prepare for Minimate devices**
